Email archive with search capability

We offer a system that enables archiving, browsing and searching through company email. The application is Web browser based, it is accessible from the company intranet or over the Internet.

Key funcionality
  • searching through subjects, headers and contents of email messages
    including the content of attachments in popular formats (doc, pdf),
  • the search engine understands any grammatical form of the sought keywords,
  • capable of handling massive amounts of data (hunderds of thousands of documents, tens of Gigabytes of data).
User interface

The program is a standalone application, managed through a Web browser. It supports two basic authorization variants:

  • authorizing with per-user passwords, that allows browsing and searching through own mail.
    • per-user authorization is typically used to search through one's own letters, e.g. to find an old email sent to a Customer
  • password protected access for the management, that allows browsing and searching through all of company mail
    • management access allows monitoring and controlling the communication between employees and Customers or between employees themselves.
Integration with other systems (e.g. CRM)

The archive module can be integrated with other systems the Customer has already deployed, so that the functionality is available directly from the main system. It is also possible to use the authorization capabilities of the main system, so that a user needs only to log in once.

Other technical possibilites depend on the specific system the Customer uses and the solutions it contains. Deploying the archive along such system requires an analysis and design phase, followed by some programming effort.

Technical prerequisites

Depending on the mailing solution used be the company, there are two basic deployment scenarios:

  • installation of the archive without interfering in the email server, using only the users and email passwords database (e.g. LDAP or even hardcoded passwords in the simplest scenario). Such solution allows archiving of incoming mail only.
  • tight integration with the email server - provided sufficient technical and ogranizational possibility.

  • Deploying the archive on a Customer-provided server that meets technical prerequisites, integrating with a standard, supported email server solution - PLN 4600.
